Some of the most frequent internal communications relate to business strategy changes and staff changes, additions and departures. The following examples are taken from real Ovations communications and can serve as a useful guide. In addition to a sample letter, the core components for each type of communication are listed. Template emails are included to help introduce the communication and explain the timeline for cascading information.

Email No. 1: Management Change

To: Ovations Executive and Leadership Teams

Subject: Urgent: Welcoming John Smith

Attached is a memo from Lois Quam announcing that John Smith will join the Ovations Management Team on April 14 as a senior vice president. John will report to Lois and collaborate closely with all Ovations businesses to develop excellent clinical, spiritual and social support services for terminally ill individuals and their families.

Please forward this email and attachment to your managers and supervisors today by 12 noon central time. Lois’ memo will be posted on the Ovations intranet for all employees at 3 p.m. central time.

Email No. 2: Business Strategy Change

To: Ovations Executive and Leadership Teams
Ovations Partner Solutions Managers and Supervisors

Subject: Important: Name Change for AARP Division of Ovations

Attached is a memo from Tom Lindquist and Dave Ingraham announcing that, effective immediately, the AARP Divisions of Ovations are adopting new internal names. The three divisions will be known collectively as Ovations Partner Solutions, and each division name is changing as follows.

  • The AARP Insurance Division will be called Insurance Solutions.
  • AARP Pharmacy Services will change its name to Pharmacy Solutions.
  • Our catalog business will become Consumer Health Products.

Today at 3 p.m. central time, Ovations Partner Solutions managers should forward the attached memo to their teams. It will be posted for all employees on the Ovations intranet tomorrow morning at 8 a.m. central time.

Subject: Informational: New Training Available

Clear, friendly, respectful communication is essential to building relationships with our customers and reinforcing Ovations’ commitment to simplifying the health care experience. A new online training program is available on LearnWell to help Ovations employees create “customer friendly” communication.

Please visit the Ovations intranet for a memo from Gaye Adams Massey that provides an overview of this customer-friendly communication initiative and explains how employees can register for the online training. Please forward this email to your employees and encourage them to sign up for training as soon as possible.
